DUTIES AND RESPONSIBILITIES:
Under the direction of the Talent Development and Training Manager, the Learning and Organizational Development Coordinator will play an important role in supporting the coordination and administrative tasks throughout the life cycle of learning and organizational development initiatives. This position collaborates closely with the Talent Development and Training Manager to ensure full understanding the objectives, scope and scale of the training initiatives to be delivered, which can range from virtual sessions to in-person trainings. Responsible for day to day administrative functions and coordination of training sessions. This position involves a high level of interaction and exposure to both internal and external stake holders. The Learning and Organizational Development Coordinator must convey a professional and positive demeanor and provide a high level of service to internal and external customers. In addition, the Learning and Organizational Development Coordinator may deliver sessions as needed. Performs other duties as assigned.
- Regularly meets with the Talent Development & Training Manager to review schedules, and draft/edit correspondence and learning sessions.
- Arranges and schedules internal and external meetings, including arranging transportation. Prepares and provide meeting materials for participants.
- Books venues and coordinates A/V support.
- Conducts final checks on event day to ensure sessions meet quality standards.
- Oversees event proceedings and promptly addresses any issues that may arise.
- Processes general expense reimbursement requests.
- Opens and distributes departmental mail to appropriate staff.
- Maintains departmental calendar, organizes and coordinates meetings for staff and consultants when needed.
- Handles inquiries via phone or email, managing escalations as needed.
- Manages departmental supplies including surveying the Learning and Organizational Development supply storage areas to ascertain what is needed. Maintains organization in supply storage areas.
- Maintains departmental files and documents as needed.
- Ensures that assigned clerical projects are carried out and completed in a timely manner.
- Assists with the maintenance of the Learning Management System (LMS) by entering all training and development information into the system.
- Generates reports and respond to internal and external inquires for data and special reports.
- Collects learning and training evaluations and creates and maintains comprehensive impact reports.
- Responsible for tracking and ensuring all staff comply with mandatory NYS Sexual Harassment Prevention training.
- Responsible for tracking and ensuring all Librarian staff have up to date NYS Public Librarian certifications.
- May deliver training sessions as needed.
- Efficiently plans events within budget and time constraints.
- Responsible for SAP and other business functions including processing purchase requisitions, goods receipts, budget receipts, and ordering supplies.
- Creates requisitions and performs goods receipting.
- Assists with tracking and monitoring of training and development vendor contracts and grant expenditures.
- Prepares and submits vendor invoices to Finance and ensures payment.
REQUIRED QUALIFICATIONS:
- High school diploma, GED, or High School Equivalency is required.
- A minimum of one year of training experience required.
- A minimum of two years of administrative or coordination experience required.
- Excellent verbal and written communication skills required.
- Must possess very strong organizational skills and a great attention to detail. Must be proficient with Microsoft Office Suite (Word, Excel, Outlook) and have strong computer software skills.
- Proficient with MS Teams and Zoom required.
- Must be team oriented, while being able to work independently.
- Ability to effectively communicate with all levels of employees is essential.
PREFERRED QUALIFICATIONS:
- Bachelor’s Degree in Human Resources, Organizational Development, or similar degree preferred.
